Are the payroll and tax figures correct for 2026?+
Yes — all statutory rates have been verified against official sources as of June 2026. The Payroll Calculator uses the current 5-band PAYE system (10–35%), SHIF at 2.75% of gross (which replaced NHIF in October 2024), NSSF Phase 4 rates effective February 2026 (Tier I: KES 540, Tier II: 6% up to KES 108,000), the Housing Levy at 1.5%, and a personal relief of KES 2,400/month. All sources are cited inside the tool.
What makes the Premium templates different?+

Can I use the templates if I own more than one business?+
Yes — use the multi-business selector on the site. The more businesses you select, the bigger your discount — up to 70% off for 3 or more business types.
What is SHIF and how is it different from NHIF?+
SHIF (Social Health Insurance Fund) replaced NHIF on 1 October 2024. It is administered by the Social Health Authority (SHA) under the Social Health Insurance Act 2023. Unlike NHIF which used fixed graduated bands, SHIF is 2.75% of your gross monthly salary with a minimum of KES 300 and no upper cap. This means higher earners pay more than they did under NHIF. All BizKit Africa payroll tools have been updated to use SHIF, not NHIF.

Every planting season, thousands of farmers across East Africa invest in seeds, fertiliser and labour — and only discover whether the numbers worked at harvest time. By then it is too late to change course. The break-even calculation changes that: it tells you, before you plant, exactly how much you need to produce to cover your costs.

The same principle applies to any business investment: hiring staff, opening a second location, launching a new product. The break-even question is always the same — how much do I need to sell to cover what I am spending?

Step 1: List Every Input Cost

Write down every expense connected to the investment. For one acre of maize in central Kenya, a realistic input list:

  • Certified seed: KES 700–1,200 per acre
  • Basal fertiliser (DAP): KES 3,500–4,200 per 50kg bag
  • Top dressing (CAN): KES 2,800–3,400 per 50kg bag
  • Herbicides and pesticides: KES 800–1,500
  • Labour (prep, planting, weeding, harvesting): KES 4,000–8,000
  • Transport to market: KES 500–2,000

Total realistic input cost per acre: KES 15,000 – KES 22,000. Use KES 18,000 as a working mid-point.

Step 2 & 3: Yield Estimate and Market Price

Research the realistic yield range for your crop, region, and farming method. For maize in central Kenya under average rainfall: 8–22 bags (90kg) per acre. Use the conservative estimate when calculating break-even. Check the current farm-gate price — not retail — in your area. For maize in Kenya, NCPB and local market prices typically range from KES 2,800 to KES 4,200 per 90kg bag depending on the season.

If your business accepts Mpesa payments — and in Kenya, almost every business does — you are almost certainly using either a Buy-Goods (Till) number or a Paybill (Merchant) account. The choice matters more than most people realise. It directly affects how easily you can reconcile your accounts, whether you can match payments to invoices, and whether your books will stand up to scrutiny from a bank or tax audit.

What is a Till / Buy-Goods Number?

A customer opens their Mpesa app, selects "Buy Goods and Services," enters your till number and the amount, and the money arrives in your Mpesa wallet. The limitation: there is no reference field. When you receive KES 12,400 from an unknown number at 2pm on a Tuesday, you have to match it to an invoice manually — by cross-referencing your sales records with your Mpesa statement line by line.

What is a Merchant / Paybill Account?

A Paybill account adds a second field: an account number. You assign a unique account number to each customer, invoice, or transaction. When the customer pays, they enter your Paybill number and their account number. That account number appears on your Mpesa statement alongside the payment — so "Account: INV-2025-088" appears directly in the transaction record. The reconciliation writes itself.

"A business that cannot reconcile its Mpesa statement quickly cannot produce accurate accounts. If you have more than 20 transactions a day and you are using a Till number, you are creating unnecessary work for yourself every month."

Float Management and Registration

Both account types accumulate float that must be moved to a bank account periodically. Both have transaction limits that change based on your account tier — apply for a higher tier as soon as your volume justifies it.

Till number: Visit any Safaricom shop with your business registration documents and National ID. Paybill: Done online or through a Safaricom business centre — requires business registration certificate, KRA PIN, and proof of address. Processing takes 5–10 business days.

The cash flow statement shows every shilling that came in and went out during the month and the net result. This is different from profit — a business can be profitable on paper and still run out of cash, which is one of the most common reasons otherwise healthy businesses fail.

Warning sign: Monthly revenue growing but weekly cash is frequently tight — usually means credit customers are taking too long to pay, or stock is being purchased faster than it is being sold. Report 2: The Profit & Loss Statement

The P&L shows your revenue, costs, and resulting profit or loss for the month. It includes sales made on credit and costs incurred but not yet paid — giving a more complete picture than the cash flow statement alone.
